Junior Members

Membi treats Junior members as a special type of Member. When juniors are added to the system, details must also be provided for a parent/guardian. The Junior and the Adult will be listed in the system as two separate accounts within a Family Group.The benefits of this set-up are:

  • The parent/guardian is the purchaser of any subscription or event ticket (not the child).  Useful if you want to rely on legal statements made online (e.g. parental/medical consent forms)
  • Where multiple children are members of the club, the parents are stored once (not once per child)
  • Family information (e.g addresses/phone numbers) are stored centrally for the Family and can be updated by a parent for all Junior members in their Family in one go.
  • We can ensure for you that consents relating to Junior members are completed by an Adult responsible for them.

Organisation settings related to juniors #

When the organisation is first set up, you will be asked to specify whether the organisation has Junior members. Organisations who do not have Junior members do not then see the options relating to juniors throughout the system (our way of simplifying the system so you only see things that are relevant to you).

The organisation settings relating to juniors can be found in the Users section under the Configuration tab.

When Juniors are enabled, you will be able to set the following:

  • Junior Age Limit: This is the age at which the system considers a person to no longer be a Junior. We use that information to prevent Junior subscriptions from being renewed once the Member becomes an Adult.
  • Junior Consent Management: By default the system is set to allow only an Adult to complete consents in forms (e.g parental or medical consent). However you can change that to enable the Junior to complete consents in forms.
  • Consent on Age Transition: If you have collected consent for medical treatment etc from the responsible Adult, when this setting is switched on, the system will automatically prompt the Junior when they become an Adult to complete those consents for themselves.
  • Subscription renewals: By default the system will mark subscriptions as not to be renewed if, the next time they will be renewed, the Junior will no longer be eligible due to having aged out.
  • Auto-switch subscription: This setting enables you to automatically set what subscription the Junior should move on to when they age out. If the subscription types are set to Auto-Renew, when it comes round to renewal time, the system will automatically place an order for the new subscription.

Adding Juniors to the System #

To add a Junior via the admin panel, click on the Add New Member button in the Users section of Admin Home or on the Add New Member tab on the Users page.

In the Add New Member wizard, select Person and then Junior. Add the Junior’s name, and then select either:

  • Add Parent (if the parent/guardian isn’t yet in the system); or
  • Add to Existing Group (if the Junior’s Family are already in the system).

You will then be asked if you want to add an address (if the Family is new), and given the option to fill out a membership form for the Junior (and the parent if they are joining as a Family).
