After more than a decade of supporting clubs, societies and associations to manage their subscriptions, we’ve listened to all the diverse ways that organisations operate, and designed a system which enables them to do just that, but with simple, intuitive, user interface, and a comprehensive Help Section, to guide you through the process.

Switching subscriptions

Set criteria for automatic switching, for example when juniors age out

  • For locker keys, boat park spaces, or other add-on subscriptions that don’t themselves provide membership
  • One-off payments, such as joining fees
  • Restrict the number that can be purchased by an individual or group
  • Require the purchase of subscription A, if they want to buy subscription B (particularly useful for joining fees)

Pricing

  • Set different pricing for new and renewing members
  • Provide discounts for members who join part way through the year
  • Set a rollover period for members who join late in the year to purchase next year’s sub at the same time
  • Flat pricing, or pricing depending on the number of subscriptions purchased by the individual or the group.  For example:  1st boat park space is £10, the second is £20, and each one after that is £30
  • Schedule price changes, so you don’t need to do them on the day

Periods

  • Specify the length of the subscription in a number of years, months, weeks or days
  • Specify a fixed end date if you want your members to all renew at the same time
  • Or set the subscriptions to expire on each individual member’s anniversary
  • Select Life for life or honorary subscriptions that don’t expire
  • Set no period for one-off payments, such as joining fees or key deposits

Renewals

  • Auto-renew:  Set your subscriptions to auto-renew and let the system do all the work for you
  • Renewal reminders:  Use our standard template or customise your own.  Schedule payment reminders
  • Warnings section:  Convenient list of people to chase, payment issues and subscriptions that need dealing with 
  • Age-based subscriptions:  the system will automatically prevent members from renewing subscriptions that they are no longer eligible for

Payment Methods

Specify the payment methods that you want members to use.  For example, use direct debit for subscription renewals, and card payments for events and other purchases.  If a member adds both to their basket, our sophisticated checkout process seamlessly splits their basket into 2 orders.

Set the renewal payment method for a member’s subscription.  So if they paid by bank transfer last year, but you want them to pay by direct debit this time round, you can set the payment method in advance.  If they don’t already have a direct debit or recurring card payment, the system can send them a link to set that up.

For those members who still want to use cheque or cash to pay their subs, you can set these up as admin-only payment methods and put the order through for them

Forms

  • Collect information relating to the subscription, such as boat details
  • Our comprehensive, and easy-to-use, form builder enables to you to create a wide range of field types, from dropdowns to checkboxes and radio buttons
  • Specify fields as View Only, for example where you want to allocate the member a number
  • Make fields required or optional
  • Schedule a form review, which will require the members to review and check their form data is uptodate

Switching Subscriptions

  • Configure automatic switching from one subscription type to another:
    • based on age (e.g juniors become adults, or adults become eligible for senior pricing; or
    • when you no longer want to offer a subscription type
  • Members can request to switch, either immediately or at renewal time.  Switching requests are flagged up in the admin panel, so you can see them as they come in
  • Administrators can schedule switching at renewal time for individual members
